The primary responsibility is providing shift coverage for Ronald McDonald Family Rooms and Hospitality Carts. Family Room and Cart shifts are 8 am - 5 pm Monday- Friday in 2–4-hour increments based on the needs of the facility. The Family Room and Hospitality Program Assistant is knowledgeable of the mission, goals, and objectives of RMHD and RMFR.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

· Operations Coordination:

o Shift coverage for family room and hospitality programs.

o Ensure that Family Room and Hospitality Programs are accessible during regular business hours of operation.

o Work with Chief Operating Officer and Volunteer Services Manager to ensure an effective transition for coverage.

o Responsible for ensuring proper operations of Family Room and Hospitality Programs.

o Manage manual or electronic registration or tracking process of visitors served and supply usage, ensuring all data is entered in Arreva or submitted and reconciled timely.

o Provide excellent customer service and hospitality for all guests.

o Assist with managing and purchasing inventory of food and supplies, with monthly purchase reconciliation.

o Assist with training new volunteers on procedures. Maintains all training and procedural manuals.

o Coordinate with volunteers and hospital to set up and takedown holiday decorations.

o Provide shift coverage in absence of volunteer coverage.

· Facility Support:

o Conduct routine inspections of Family Room and Hospitality Program sites to identify safety, maintenance, housekeeping, and overall appearance issues and coordinates resolution with hospital partner or RMHD staff. Completes maintenance request forms as needed.

o Ensure cleanliness and readiness of Family Room and Hospitality Program sites.

o Monitor activity and maintain control of the facility usage by families, volunteers, and all other guests.

o Respond appropriately to emergencies and incidents in accordance with hospital’s and RMHD plans.

o Ensure all RMHD and RMFR volunteers and staff are aligned and always current with the facility’s volunteer guidelines and requirements.

· Family Services:

o Create an atmosphere of hospitality and ensure the well-being and comfort of families.

o Demonstrate an atmosphere of warmth, compassion, and support to ensure a nurturing atmosphere at all times.

· Volunteer/Community Relations:

o Communicate with Volunteer Services Manager about any unique situations with a volunteer.

o Encourage volunteer interaction with families.

o Work with the RMHD Volunteer Services Manager to organize volunteer recognition and appreciation gifts or events.

o Maintain an awareness of Board functions and Board members in general.

Other duties as directed by supervisor, administrator in-charge, or CEO.
